Business email on your own UK domain

We set up professional email on your .co.uk or .uk domain with Google Workspace, Microsoft 365 or Zoho, and configure it so messages reach inboxes. Your website's own emails get the same care.

Overview

Business Email for organisations in the United Kingdom.

A business email address on your own domain tells customers you are established, and it keeps email under your organisation's control when staff change. The setup is not difficult, but the details decide whether messages arrive or quietly land in spam.

We handle email as part of domain and email management, usually alongside a website we build or host. That means the domain, the mailboxes, the website and the records that tie them together are looked after by one team.

In detail

Business Email in the United Kingdom, in detail.

01

Choosing a provider

Most UK organisations choose between Google Workspace and Microsoft 365, with Zoho as a lower-cost option. The right choice depends on the tools your staff already use, such as Word and Teams or Docs and Meet, and how you share files. We explain the differences in practical terms, set up the account in your organisation's name, create mailboxes and shared addresses, and migrate existing mail where needed.

02

SPF, DKIM and DMARC done properly

The National Cyber Security Centre recommends SPF, DKIM and DMARC to stop criminals spoofing your domain. We list every service that sends email for you, from your mailboxes to your website, newsletter tool and CRM, then publish the records. DMARC starts at 'none' while we read the reports, then moves through 'quarantine' to 'reject', the staged approach NCSC describes. We can also point you to NCSC's free Mail Check service.

03

Website email that arrives

WordPress sites send contact form notifications, order confirmations and password resets. By default many sites send these from the web server, which often fails authentication and lands in spam. We route website email through an authenticated sending service on your domain, so enquiries reach your team and customers receive their receipts. The same care goes into automated messages such as booking updates and receipts, which people act on.

04

Moving domains and email safely

Moving a .co.uk domain means changing its Nominet IPS tag to the new registrar, and DNS must be copied first or email can stop. We plan the change at a quiet UK time, copy every record, check mail flow and keep the old setup available until the move is confirmed. Mailbox migrations are scheduled so staff do not lose messages.

05

What email setup costs

Email setup and management is part of our managed services, which start from $2,000 per year and cover domain, DNS and email alongside hosting. Mailbox licences are billed by Google, Microsoft or Zoho per user. Setup can also be scoped as a one-off task within a website or migration project. We list the number of mailboxes, shared addresses and sending services covered, so it is clear what is included, and we keep a record of every DNS change we make.

Questions

Frequently asked questions

Google Workspace or Microsoft 365?

Choose the one that fits the tools your staff already use. If your team lives in Word, Excel and Teams, Microsoft 365 is usually simpler. If you prefer browser-based tools, Google Workspace is often easier. We set up either.

Why do our website emails go to spam?

Usually because the site sends mail from the web server without proper authentication for your domain. We route it through an authenticated sending service and add SPF, DKIM and DMARC, which normally fixes delivery. We also check DMARC reports for any other services sending as your domain.

Will we lose email during the move?

Not if it is planned properly. We copy DNS records before any change, schedule the switch at a quiet time and check mail flow afterwards. Existing messages are migrated before old mailboxes are closed. Staff are told in advance how to log in to the new mailboxes on their phones and laptops.

Who owns the email accounts?

Your organisation. Accounts and the domain are set up in your name, and we manage them on your behalf. If you leave, you keep everything and we hand over admin access. Admin access for your nominated staff is set up from day one.

Do you send marketing emails?

No, that sits with your marketing team. We make sure your domain is authenticated for the newsletter tool you use, so its messages are trusted. Under PECR, marketing emails generally need consent, which your team manages. We can also check that unsubscribe links work and that sign-up forms record consent clearly.
