Overview

Business Email for organisations in Tanzania.

A Gmail or Yahoo address on a business card makes a Tanzanian company look smaller than it is, and staff leaving with the account means losing the mail history. Email on your own domain fixes both.

Setting it up properly takes more than buying mailboxes. The domain needs the right DNS records so other mail servers trust your messages, and your website needs to send its own email in a way that does not land in spam.

In detail

Business Email in Tanzania, in detail.

01

Choosing a provider

Google Workspace suits teams that already live in Gmail and Google Docs. Microsoft 365 suits organisations using Word, Excel and Teams. Zoho Mail is a lower cost option with a capable web interface. All three bill per user, usually in US dollars, and since 2022 non-resident digital service suppliers must register for VAT in Mainland Tanzania, so check whether VAT appears on invoices. We help you pick on features, not habit.

02

SPF, DKIM and DMARC

These three DNS records tell receiving servers which systems may send for your domain, sign your messages and say what to do with fakes. Without them, mail from your .co.tz address is more likely to be marked as spam or spoofed by fraudsters asking customers to pay into a different account. We set all three, start DMARC in monitoring mode and tighten it once legitimate senders are confirmed.

03

Email from your website

Contact forms, order confirmations, payment receipts and password resets all send email. By default WordPress sends it in a way many servers distrust. We route website mail through an authenticated sending service aligned with your domain records, so a parent's fee receipt or a customer's order confirmation arrives reliably. We used the same care for automated attendee updates on a government boot camp platform.

04

Migrating existing mailboxes

If your staff already use email with a local host, we move the mailboxes, contacts and calendars to the new provider, plan the DNS switch for a quiet period and check that no mail is lost in between. Staff get simple instructions for setting up phones and laptops. Old addresses that are no longer used can be set up as aliases so no client message goes unanswered.

05

Email and personal data

Mailboxes are full of personal data, and the major providers store it on servers outside Tanzania. Under the Personal Data Protection Act, 2022, transfers abroad need safeguards and the Commission's authorisation, according to DLA Piper's guide to the Act. We note where your provider stores data so your adviser can include it in your records. We also turn on two-step sign-in for every mailbox, which protects that data far better than a password alone.

Questions

Frequently asked questions

Can we use our .co.tz domain for email?

Yes. Any domain you own, whether .tz, .co.tz, .or.tz or .com, can carry business email. We add the records your provider needs and keep the website working alongside. Shared addresses such as info@ or sales@ can deliver to several staff at once.

Why do our website emails go to spam?

Usually because WordPress sends them without proper authentication, or the domain lacks SPF, DKIM and DMARC records. We route website mail through an authenticated service and set the records so receivers trust it. We then send test messages to major providers and check the headers to confirm the fix.

Which provider is cheapest?

Prices change and depend on the plan, so we compare current options when you ask. Zoho is often the lowest cost for basic mail, while Google Workspace and Microsoft 365 include more tools. We recommend based on what your team actually uses.

Can you move our email without losing messages?

Yes. We copy existing mail to the new provider, switch DNS at a quiet time and run a final sync afterwards. Staff keep their history and address. Any messages that arrive during the switch are picked up by that final sync.

What does business email setup cost?

Email setup is part of our Managed Services, from $2,000 per year, or can be scoped as part of a migration, from $1,000. Provider subscriptions are paid separately to Google, Microsoft or Zoho. We help you choose a plan that fits your team size rather than paying for tools nobody uses.
