Overview

Business Email for organisations in Ghana.

A surprising number of Ghanaian businesses, schools and NGOs still send invoices and proposals from free webmail accounts, or have a company address that works most days but sometimes disappears into spam. Customers and partners notice both. The fix is not complicated, but it does need someone who understands domains, DNS and how modern inbox providers judge mail.

Because email shares your domain with your website, we treat it as part of the same infrastructure, set it up properly and document it so it keeps working when staff change.

In detail

Business Email in Ghana, in detail.

01

Google Workspace, Microsoft 365 or Zoho

All three give you professional mailboxes on your own domain, along with calendars and file storage. Google Workspace feels familiar to anyone who uses Gmail, Microsoft 365 suits teams that work in Word, Excel and Teams, and Zoho Mail is often chosen by smaller organisations watching costs. We explain the trade-offs for your team and set up whichever you choose, with the subscription in your organisation's name.

02

Authentication that keeps you out of spam

Three DNS records do most of the work. SPF lists which services may send mail for your domain, DKIM adds a digital signature to each message and DMARC tells receiving servers how to treat mail that fails those checks. Gmail and Yahoo now expect senders to authenticate, so a domain without these records sees more messages rejected or filtered. We configure all three and test delivery.

03

Website emails that reach customers

Your WordPress site sends its own mail: order confirmations after a MoMo payment, enrolment receipts, password resets and contact form alerts. By default many sites send these straight from the web server, where they are often filtered. We route website mail through an authenticated sending service, include it in your SPF and DKIM records and test that a customer who has just paid actually receives the confirmation.

04

Your .com.gh domain, in your name

Ghanaian organisations often use .com.gh, or .edu.gh for schools, managed by the Ghana Network Information Center through accredited registrars. Reported rules require a Ghana-registered company and a local domain administrator for .com.gh, so we check eligibility before applying. If you already have a domain, we confirm who controls it, because when a forgotten domain expires, every inbox on it stops working.

05

Security, staff changes and Act 843

Email holds personal data: customer messages, CVs, contracts and payment queries. Under Ghana's Data Protection Act, 2012 (Act 843), that data needs protecting, and your Data Protection Commission registration should reflect how you handle it. We switch on two-step verification, set up shared mailboxes so enquiries are not trapped in one person's inbox and agree a simple routine for when someone leaves. Our free emailfooter plugin keeps signatures consistent.

Questions

Frequently asked questions

How do I get a professional email address in Ghana?

You need a domain, such as yourcompany.com.gh or yourcompany.com, and an email service such as Google Workspace, Microsoft 365 or Zoho. DNS records connect the two. We handle the full setup, including the authentication records that quick setups often leave out.

Can we use the email that came with our hosting plan?

You can, and for a very small team it may be enough. Hosting mailboxes usually have less storage, weaker spam filtering and less reliable delivery than a dedicated provider. We will recommend whichever option genuinely suits your size and budget.

Will we lose old emails when we switch?

No. We migrate existing mail, folders and contacts from your old provider or webmail into the new service, then change the DNS records at a quiet time so incoming messages are not lost during the move. Staff open the new mailbox and find their history already there.

Why do our messages land in spam?

Common causes are missing SPF, DKIM or DMARC records, a website sending unauthenticated mail or a domain with a poor sending history. We check each of these, correct the records and test delivery to the major inbox providers until messages arrive reliably.

How much does business email setup cost?

Domain and email management is included in Managed Services, which start from $2,000 per year. The email provider bills its own subscription per user, in your name. A one-off setup can also be scoped as a small project, with the price agreed in writing.
