Web applications, Rwanda

Custom web applications for Rwandan teams, built on WordPress

If your team runs a process through spreadsheets, WhatsApp groups and paper forms, a web application can bring it into one place. We build portals, approval workflows and dashboards on WordPress, from $5,000 and scoped in writing.

Overview

Web Application Development for organisations in Rwanda.

A web application is any system people log in to and do work in: a grant portal where applicants submit and reviewers score, a supplier registration system, a staff leave tracker, a member directory with renewals. Many Rwandan organisations want these online so that staff in Kigali and partners elsewhere work from the same live information.

We build them on WordPress because it gives you a mature user system, a familiar admin area and a large pool of developers who can support it later. The custom logic, forms and dashboards are written specifically for your process.

In detail

Web Application Development in Rwanda, in detail.

01

Mapping the process before writing code

Most of the value in a custom system comes from understanding the process it replaces. We start by walking through it with the people who do the work: who submits what, who approves it, what happens when something is rejected, which reports managers need. That becomes a written specification with screens and user roles, which you approve before development starts, so the build matches how your organisation really operates.

02

Roles, approvals and audit trails

Web applications depend on getting permissions right. An applicant should see only their own submission, a reviewer only the files assigned to them, a manager the whole picture. We build those roles carefully, add approval steps with email notifications, and record who changed each record and when. That record helps with internal accountability and with demonstrating good practice under Law No. 058/2021.

03

Payments and fees inside the workflow

Some processes involve money: application fees, membership renewals, event registrations. We connect the application to IremboPay, Flutterwave or MTN's Collections API so the payment step sits inside the workflow, and the record updates itself once the MTN MoMo, Airtel Money or card payment is confirmed. Staff no longer need to compare bank statements against a list of names, and applicants get an instant receipt by email.

04

Hosting a system that holds personal data

Custom systems usually store more personal data than a public website: ID numbers, CVs, financial details. Rwanda's law requires registration with the NCSA, storage in Rwanda unless authorised otherwise, and breach notification within 48 hours. We plan hosting, backups and access controls with those duties in view, and include an incident procedure in the handover pack so your team knows what to do.

05

Dashboards people will open

Managers need to see what is happening without exporting data into spreadsheets. We build dashboards showing the figures that matter for your process, such as applications by stage, pending approvals or payments received this month, with filters and exports for reporting to boards or funders. Each dashboard is checked on a phone as well as a laptop, because managers often review progress between meetings.

Questions

Frequently asked questions

Why build a web application on WordPress?

WordPress already handles users, logins, roles, media and security updates, so we spend your budget on the logic that is unique to your process. It is also widely understood, which means you are not locked into one supplier. If your needs would be better served by another platform, we will tell you honestly.

Can staff use the system on their phones?

Yes. We design every screen to work on a phone, because field staff and applicants in Rwanda often have only a smartphone. Complex tasks such as reviewing long applications may still be easier on a laptop, and we design those screens with that in mind.

Can the application connect to our other software?

Usually. We connect WordPress to accounting tools, CRMs, email platforms and payment gateways through their APIs. During scoping we check each system's documentation and confirm in writing what the integration will do, so there is no doubt about what data moves where.

What happens if there is a data breach?

Law No. 058/2021 requires a breach to be reported to the NCSA within 48 hours of becoming aware of it. We build logging so you can see what happened, and under Managed Services we help investigate, contain and document an incident so your team can report it properly.

Can we start with part of the system?

Yes, and we often recommend it. A first release might cover applications and approvals, with dashboards or payments added in a second stage. Each stage is scoped and priced separately, and the first release gives your team real experience to shape the next one.

Who owns the system?

Your organisation does. The code, the database and the hosting account are yours once the project is paid, and you receive documentation explaining how the system is built, so another developer could support it if you ever needed them to.
