Professional email on your .rw domain, set up properly

An address like [email protected] tells clients and partners you are an established organisation. We set up business email on Google Workspace, Microsoft 365 or Zoho, configure the records that keep it out of spam, and make sure your website's own emails arrive too.

Overview

Business Email for organisations in Rwanda.

Plenty of Rwandan businesses still run on personal Gmail or Yahoo addresses, or on a hosting company's basic mailbox that fills up and gets filtered. Both cause problems: messages from a free address look less trustworthy, and an unconfigured domain is easy for others to impersonate. Fixing it is not complicated, but it does need to be done carefully.

Domain and email setup is part of our Managed Services, which start from $2,000 per year, and is often included when we build or redesign a site. You choose and pay for the email provider directly, so the accounts belong to you.

In detail

Business Email in Rwanda, in detail.

01

Choosing a provider

Google Workspace, Microsoft 365 and Zoho Mail all offer email on your own domain with calendars and shared documents. The right choice depends on what your team already uses, which apps partners expect, and budget. We compare them with you honestly; we do not resell any of them. Whichever you pick, the account is created in your organisation's name, with an administrator from your own team.

02

SPF, DKIM and DMARC explained simply

These three DNS records tell receiving mail servers which systems may send email for your domain and how to treat messages that fail the check. Without them, legitimate emails can be filtered as spam and fraudsters can send messages that appear to come from you. We publish all three, start DMARC in monitoring mode, read the reports and tighten the policy once every genuine sender is accounted for.

03

Website emails that actually arrive

WordPress sends order confirmations, password resets, form notifications and payment receipts. By default it often sends them in a way receiving servers distrust, so they vanish. We route website mail through an authenticated sending service on your domain, test each message type, and log deliveries so you can check whether a customer's MoMo payment receipt was actually sent. If a message fails, the log shows why, which saves guesswork when a customer calls.

04

Your .rw domain and DNS

Your .rw or .co.rw domain is registered through a RICTA-accredited registrar, and email depends on the DNS records held there or at your host. We document every record, stop website and email settings from overwriting each other, and make sure registrar logins sit with your organisation. When renewal comes round, you will know who to pay and why it matters.

05

Mailboxes hold personal data too

Emails contain names, phone numbers, attachments and sometimes ID documents, so Law No. 058/2021 applies to your mailboxes as much as to your website. We enable two-step sign-in, set up shared mailboxes instead of shared passwords, remove access when staff leave and help you describe your email provider accurately when you register with the NCSA, including where its data is stored.

Questions

Frequently asked questions

Which is better for a Rwandan business, Google Workspace or Microsoft 365?

Neither is right for everyone. If your team lives in Word and Excel, Microsoft 365 is often the smoother fit. If you prefer browser-based tools and Google Docs, Workspace suits you. Zoho Mail is a lighter option. We help you decide based on how you work, and we take no commission from any provider.

Can you move our old emails across?

Usually, yes. Most providers support importing mail from another account, and we plan the switch so new messages land in the new mailboxes while old ones are copied over. Some basic hosting mailboxes limit exports, so we check that before agreeing a timeline with you.

Why do our website form emails go to spam?

Usually because WordPress sends them without proper authentication, or from an address the domain's SPF record does not cover. We fix the sending route and DNS records, then test each type of message so contact forms, orders and payment receipts reach the people they are meant for.

Do we need a .rw domain for business email?

No. Business email works on any domain you own. A .rw or .co.rw address does tell Rwandan clients you are local, and it pairs neatly with your website. If you already have a .com, we can set up email on that instead and leave the .rw for a later decision.

Is email part of our NCSA registration?

Mailboxes hold personal data, so your email provider is part of how you process it. When registering with the NCSA under Law No. 058/2021, you describe the provider and where it stores data. We give you those details; for the legal interpretation, check with the NCSA or an adviser.

What happens when a staff member leaves?

You keep the mailbox. We show your administrator how to suspend the account, forward or delegate the mail to a colleague and remove access on phones. Business email belongs to the organisation, which is one of the main reasons to move away from personal addresses.
