Overview

Business Email for organisations in Uganda.

Plenty of Ugandan businesses still trade from personal webmail addresses. It works, until a staff member leaves with the inbox, a supplier doubts an invoice, or a large client's mail system quietly filters your messages.

Email on your own domain fixes the identity problem. Proper authentication fixes the delivery problem. We take care of both, plus the email your website sends on its own.

In detail

Business Email in Uganda, in detail.

01

Picking Google, Microsoft or Zoho

All three providers host mailboxes on your domain with calendars and file storage. The right choice depends on what your team already uses, how much storage each person needs and your budget. We lay out the differences for your situation, open the account in your organisation's name and leave the subscription with you, so the provider bills you directly without any mark-up from us.

02

DNS first, as .ug requires

.ug registrations expect name servers to be live and answering when the domain is ordered. If you are registering a new .co.ug, we prepare DNS before the order goes in, so email records can be added the moment the domain exists. For existing domains we audit the current records, remove leftovers from old providers and document what each remaining record does and why it is there.

03

SPF, DKIM and DMARC

These records prove your mail is genuine. SPF lists the services allowed to send for your domain, DKIM adds a signature to every message and DMARC tells receiving servers what to do when checks fail. Without them, major mailbox providers are increasingly likely to reject or junk your mail. We publish all three, monitor DMARC reports and tighten the policy once every legitimate sender is covered.

04

Making website email reliable

WordPress sends order confirmations, mobile money receipts, application acknowledgements and password resets. Sent directly from a web server, many of those never arrive. We route them through an authenticated transactional service aligned with your domain records and keep a delivery log, so when a parent says they never got a receipt your team can check in seconds and resend it.

05

Mailboxes and personal data

Inboxes contain customers' and staff members' personal data, which falls under the Data Protection and Privacy Act, 2019. Breaches must be reported to the Personal Data Protection Office immediately, and a compromised mailbox is a common cause. We enable two-step sign-in, close accounts for people who have left, set access rules for shared inboxes and help you plan how long mail is kept.

Questions

Frequently asked questions

How much does business email cost in Uganda?

Mailbox prices are set by Google, Microsoft or Zoho and paid to them directly, so check their current plans. Our setup and ongoing DNS care sit within Managed Services from $2,000 per year. If you only need a one-off setup, tell us and we will scope it.

Can we keep using our current email while changing provider?

Yes. We set up the new mailboxes, migrate old mail and switch delivery records at an agreed time. Lowering DNS cache times beforehand keeps the switch short, and we check afterwards that nothing is bouncing or going missing, including mail from your website.

Why do our invoices land in clients' spam folders?

Usually because SPF, DKIM or DMARC are missing or wrong, or because a website or billing tool sends mail on your behalf without being authorised in DNS. We trace every service that sends as your domain, authorise the legitimate ones and test delivery.

Can you set up email on a .sc.ug or .or.ug domain?

Yes. The setup is the same for any second-level .ug name. We make sure the domain is registered in your organisation's name and that DNS is ready, then configure mailboxes, shared addresses and authentication records. Schools and NGOs often need shared addresses for admissions or programmes, which we set up too.

Is our email data protected under Ugandan law?

Personal data in your mailboxes is covered by the Data Protection and Privacy Act, 2019, and your organisation is responsible for it. We put technical protections in place, such as two-step sign-in and access controls; your lawyer can advise on retention and policy.
