Business email for Kenyan organisations, set up so it lands

We set up professional email on your .co.ke or .ke domain with Google Workspace, Microsoft 365 or Zoho, and configure SPF, DKIM and DMARC so your messages reach inboxes. Domain and email care sit within Managed Services from $2,000 per year.

Overview

Business Email for organisations in Kenya.

A quote sent from a free webmail address asks the customer to take you on trust. The same quote from an accounts address on your own .co.ke domain tells them you are an established organisation, and it keeps the mailbox under company control when staff move on.

Getting the address is easy. Getting it to arrive reliably, alongside the emails your website sends for orders, applications and password resets, takes careful DNS work. That is the part we handle.

In detail

Business Email in Kenya, in detail.

01

Choosing a provider

Google Workspace, Microsoft 365 and Zoho Mail all host email on your own domain, and each suits a different organisation. Teams already living in Word and Excel tend to settle into Microsoft 365; those working in shared documents often prefer Google; Zoho can suit smaller budgets. We compare current plans with you, set up the account in your organisation's name and leave billing with you, so the provider's terms and prices stay transparent.

02

SPF, DKIM and DMARC done properly

These three DNS records tell receiving servers that mail from your domain is genuine. SPF lists who may send for you, DKIM signs each message and DMARC says what to do with mail that fails. Large mailbox providers increasingly reject or junk mail from domains without them. We publish all three, start DMARC in monitoring mode, read the reports, then tighten the policy once every legitimate sender is accounted for.

03

Website email that arrives

Your WordPress site sends its own mail: M-Pesa order confirmations, admission acknowledgements, password resets. Sent straight from a web server, those messages often land in spam. We route them through an authenticated transactional email service covered by your SPF and DKIM records, and log each send so your team can confirm whether a customer's receipt was actually delivered, and resend it in a click if it was not.

04

Your .ke domain and its DNS

Email depends on the domain, and a lapsed .co.ke takes both mail and website offline at once. We keep the domain registered in your organisation's name with a KeNIC-accredited registrar, document every DNS record and track renewal dates. For schools on .sc.ke or universities on .ac.ke, we plan email setup alongside KeNIC's document check, so staff addresses are ready when the domain is published.

05

Moving mailboxes and protecting what is in them

Switching providers means moving years of mail, contacts and calendars. We plan the cut-over for a quiet period, migrate mailboxes and lower DNS cache times beforehand so the switch is quick. Mailboxes hold personal data covered by Kenya's Data Protection Act, 2019, so we turn on two-factor sign-in, remove accounts for staff who have left and set sensible access for shared inboxes.

Our work

Platforms we have built.

Reliable automated email is central to two of our builds: the boot camp registration system for Nigeria's Federal Ministry of Education with PLANE-FCDO, which sent attendees automated updates, and the BFI School platform's enrolment and payment emails.

Questions

Frequently asked questions

Which is better in Kenya: Google Workspace or Microsoft 365?

Neither is better in general. Both work well for Kenyan organisations; the choice depends on the tools your staff already use, the storage you need and your budget. We set out the differences for your case and help you start on the plan that fits.

Why do our emails go to spam?

The usual causes are missing or incorrect SPF, DKIM or DMARC records, a website sending mail from an unauthenticated server, or a domain that has been used for spam in the past. We check each of these, fix the records and test delivery to the main mailbox providers.

Can we keep our current email while we change website?

Yes. Email and website are separate services that share the domain. When we rebuild or move your website we preserve the mail records in DNS, so mail keeps flowing. We confirm the records before and after any change and test a message both ways.

Do you sell the email licences?

No. You hold the account with the provider directly and pay them, so there is no mark-up and you keep full control. We set it up, configure the domain and look after the DNS records as part of Managed Services.

Can our website emails show M-Pesa receipts?

Yes. When a gateway or Daraja confirms payment, WooCommerce or your custom system sends a confirmation email carrying the transaction reference. We route those messages through an authenticated sending service so they reach the customer's inbox rather than their spam folder.
