School website design for Zambian schools and colleges

We build WordPress websites for Zambian schools that make admissions simple, keep parents informed and protect pupils' personal data. Staff can update news and term dates themselves.

Overview

School Websites for organisations in Zambia.

For many families, a school's website is the first proper look at the school. Parents want the admissions steps, fees, term dates and a phone number they can call, and they usually look on a phone. Current parents want notices and calendars without hunting through messaging groups.

Our team has built a virtual learning environment for Alvina Schools and an online school for BFI Insights. We bring that experience to Zambian schools, private and public, and to colleges that need a site parents and students can rely on.

In detail

School Websites in Zambia, in detail.

01

Admissions without the paper chase

We design an admissions section around the questions parents ask: which grades are open, what to submit, important dates and how decisions are communicated. An online form can collect applications with document uploads, sending each one to the admissions office and a confirmation to the parent. For schools that charge an application fee, we can let parents pay in kwacha by MTN MoMo, Airtel Money or Zamtel through Flutterwave, with each payment matched to its application.

02

Pupils' data and parental consent

Zambia's Data Protection Act 2021 gives children's data particular protection: a controller should not process a child's personal data without consent from a parent, legal guardian or someone with parental responsibility, and must make reasonable efforts to verify that consent. On a school website that touches enrolment forms, photo galleries and results. We build parental consent into forms, keep pupil names out of public file names and give staff an easy way to take content down on request.

03

Notices, calendars and news

Schools publish constantly, and the website should be the reliable source. We set up news with categories for each section of the school, a term calendar staff can edit, and a notices area for closures or urgent changes. Notices can also be shared by link to parent WhatsApp groups, so families land on one official page rather than forwarded screenshots. Newsletter sign-ups ask for clear consent.

04

Where the school's data is stored

Section 70 of the Data Protection Act sets a default that personal data is stored and processed in Zambia, with limited exceptions. A site that only publishes news raises few questions, but one that holds applications, pupil records or parent contact details does. We document exactly where the database, uploads and backups sit for each hosting option, so the school's management and legal adviser can choose an arrangement they are comfortable with before launch.

05

Designed for school offices

School websites stall when only one teacher can update them. We keep editing simple, train office and teaching staff together, and leave short written guides for common jobs. Hosting, updates and backups can sit with us under Managed Services from $2,000 a year, so the site stays secure during holidays. School websites focused on information and admissions start from $1,500; adding payments or portals makes it development work from $5,000.

Platforms we have built.

Alvina Schools' virtual learning environment and the BFI School platform are the projects closest to a school site: both serve learners, families and staff every day.

Questions

Frequently asked questions

Can parents pay school fees through the website?

Yes. Through Flutterwave a WordPress site can collect kwacha from MTN, Airtel and Zamtel mobile money, with parents approving each payment on their phone. Card payments can be added through a gateway such as DPO Pay. The school holds the merchant account, and each payment is recorded for the bursar.

Do we need parents' consent to publish pupil photos?

Zambia's Data Protection Act requires consent from a parent or guardian before a child's personal data is processed, and a photo identifying a pupil is personal data. We build consent into enrolment forms and keep galleries manageable, but your school's policy and legal adviser should set the rules.

Can the website have a parent or student portal?

Yes. A portal for results, assignments or messages is development work starting from $5,000. Our Alvina Schools virtual learning environment is an example of the kind of logged-in platform we build. We scope portals carefully because they hold more personal data than public pages.

Should our school use a .zm domain?

Many Zambian schools and non-profits prefer a .zm address because it signals a local institution clearly. Registration requires a presence in Zambia, so the domain must be registered to the school itself. We connect it to the website and email either way.

Do you have school clients in Zambia?

Not yet. Our school and learning projects so far are Alvina Schools in Nigeria and BFI School in the USA. We show them honestly and explain how we would adapt the approach for a Zambian school, including mobile money fees and parental consent.
