Business email

Professional business email for Zambian organisations

An address on your own domain looks credible and keeps your organisation in control of its mail. We set up Google Workspace, Microsoft 365 or Zoho Mail with the authentication records that keep messages out of spam.

Overview

Business Email for organisations in Zambia.

Many Zambian businesses, schools and NGOs still send quotes and invoices from personal webmail accounts. It works until a staff member leaves with the mailbox, a customer's spam filter rejects your messages, or someone impersonates you to a supplier.

We configure professional email on your domain as part of our Managed Services, together with your website and DNS, so everything is documented and owned by your organisation.

In detail

Business Email in Zambia, in detail.

01

Picking the right email provider

Google Workspace suits teams that like Gmail, shared drives and Meet. Microsoft 365 fits organisations built around Outlook and Office documents, and many already hold licences. Zoho Mail is a lighter option some smaller teams prefer. Each provider bills per user and publishes its own plans. We discuss how your staff work, what you already pay for and how mail is accessed on phones, then recommend one.

02

Authentication: SPF, DKIM and DMARC

Receiving servers decide whether to trust your mail by checking DNS records on your domain. SPF lists the services allowed to send as you, DKIM adds a signature proving a message was not changed, and DMARC sets a policy for failures and sends you reports. We configure all three for your .co.zm or .com domain, monitor the reports, and tighten DMARC once every legitimate sender, such as your billing system, is covered.

03

Mailboxes your organisation owns

Email accounts should belong to the organisation, not to individuals. We set up named mailboxes, shared inboxes for roles such as accounts or admissions, and aliases that survive staff changes. When someone leaves, their mailbox can be reassigned rather than lost. Admin access sits with named people in your organisation, two-step verification is switched on for every user, and we document who controls what.

04

Website forms and order emails

WordPress sends enquiry notifications, order confirmations and password resets, and by default it often sends them in a way spam filters distrust. We route website mail through an authenticated sending service on your domain so it arrives. Because contact and application forms carry personal data covered by the Data Protection Act 2021, we avoid emailing full submissions in plain text and keep them in the protected admin area instead.

05

Moving from your current setup

If your mail sits on an old hosting account or personal addresses, we migrate messages, contacts and calendars to the new provider, then switch MX records at a quiet hour in Central Africa Time. Old and new systems overlap briefly so nothing is lost. Because .zm names require a presence in Zambia, your domain stays registered to your organisation, and we record every DNS change for whoever manages it next.

Questions

Frequently asked questions

Can we have a business email on a .co.zm domain?

Yes. Once your organisation holds a .co.zm name, which requires a presence in Zambia, any of the major providers can host email on it. We add the DNS records the provider needs and the authentication records that help your messages reach inboxes.

Why do our emails land in spam?

The usual causes are missing or incorrect SPF, DKIM or DMARC records, or a website sending mail from an unauthenticated server. We review your DNS, test delivery to major inboxes and fix the configuration, then watch DMARC reports to confirm it holds.

Who pays for the email licences?

Your organisation pays Google, Microsoft or Zoho directly, so the account and the data remain yours. Our setup and ongoing management are part of Managed Services, starting from $2,000 a year, which also cover your website, domain, hosting and the DNS records that tie them together.

Can staff use email on their phones?

Yes. All three providers have mobile apps, and we help staff set them up with two-step verification. We also set sensible rules for lost or stolen phones, such as signing a device out remotely, so mail and attachments stay protected.

Will moving email interrupt our work?

We plan the move so it should not. Existing mail is copied in advance, the switch happens at a quiet time, and old and new mailboxes run in parallel briefly. Staff receive simple instructions for signing in to the new system.
