Business email, Malawi

Professional business email for Malawian organisations

We set up email on your own .co.mw, .org.mw or .com domain with Google Workspace, Microsoft 365 or Zoho, and configure it so your messages reach inboxes rather than spam folders. Your website's forms and receipts are fixed to send reliably at the same time.

Overview

Business Email for organisations in Malawi.

Plenty of Malawian businesses still trade from free webmail addresses. It works, but it does little for trust when you are quoting for a contract or asking a customer to pay by mobile money. An address on your own domain looks established, stays with the organisation when staff leave and can be secured centrally.

Getting it right involves more than buying licences. Email on a domain depends on DNS records that prove your messages are genuine. When those records are missing, invoices and order confirmations land in spam. We handle the whole setup, including the email your WordPress site sends.

In detail

Business Email in Malawi, in detail.

01

Choosing the right provider

Google Workspace suits teams that live in Gmail and shared documents. Microsoft 365 suits organisations that rely on Outlook, Word and Excel, or whose donors and partners already use Teams. Zoho Mail is a lighter option for smaller teams. We explain the trade-offs in plain terms and set up whichever fits. Licences are in your organisation's name and billed to you directly by the provider.

02

SPF, DKIM and DMARC done properly

These three records tell receiving mail servers that a message claiming to come from your domain really did. SPF lists who may send for you, DKIM signs each message and DMARC tells receivers what to do with failures and sends you reports. We set all three, test them and tighten the DMARC policy gradually, which also makes it much harder for fraudsters to send fake invoices in your name.

03

Website email that arrives

WordPress sends contact form notifications, order confirmations, payment receipts and password resets. By default it often sends them in a way that spam filters distrust. We route site email through an authenticated sending service so a customer who has just paid by Airtel Money or TNM Mpamba actually receives their receipt, and your team receives every enquiry. Our team built automated attendee email updates for a government-partnered boot camp, so we know how much depends on this.

04

Costs and VAT on subscriptions

Email licences are billed per user, usually in US dollars, which makes them sensitive to the exchange rate after the kwacha devaluations of 2022 and 2023. Since 15 April 2026 non-resident providers of digital services to Malawian consumers must register for Malawian VAT, so check with your accountant how subscriptions you buy are invoiced. We list every licence in your plan so renewals are never a surprise.

05

Moving without losing mail

If you are moving from free webmail, another provider or your web host's mailboxes, we copy existing messages, contacts and calendars to the new service and switch the domain records at a quiet time. We give staff short instructions for setting up phones and laptops, and check afterwards that sending and receiving work in both directions. Old mailboxes are kept available until everyone confirms the move is complete.

Questions

Frequently asked questions

Which is better, Google Workspace or Microsoft 365?

Neither is better for everyone. Google Workspace is simple and strong for collaboration in a browser. Microsoft 365 fits teams who depend on desktop Office applications or partners using Teams. We ask how your team works today and recommend accordingly.

Can we use our .co.mw domain for email?

Yes. Any .mw domain, including .co.mw, .com.mw and .org.mw, can carry business email once the correct DNS records are in place. We set those records up and make sure the domain itself is registered in your organisation's name.

What does business email setup cost with you?

Domain and email work is part of our Managed Services, which start from $2,000 per year and also cover hosting and maintenance. Email licences are paid directly to the provider. We set out everything in a written scope with a fixed USD price.

Why do our emails go to spam?

Usually because SPF, DKIM or DMARC records are missing or wrong, or because the website sends mail without authentication. We check all of these, fix them and test delivery to major providers. Content and sending habits matter too, and we advise on those.

Will our email go down if the website does?

Not if it is set up as we recommend. We keep email on a dedicated provider, separate from website hosting, so a website problem never affects your mailboxes. Both share the domain, but run on different services. It also means you can change web host without touching email.
