Overview

Business Email for organisations in Botswana.

A Gmail or Yahoo address on a business card tells clients you have not set up properly. Email on your own .co.bw or .com domain looks professional, keeps mail under your organisation's control and survives staff changes.

Domain and email setup sits within our managed services, from $2,000 a year, or can be part of a website project. Mailbox licences are paid directly to the provider you choose.

In detail

Business Email in Botswana, in detail.

01

Choosing a provider

Google Workspace suits teams who already use Gmail and Google Docs. Microsoft 365 suits organisations working in Outlook, Word and Excel. Zoho Mail is a lighter option for smaller budgets. We explain the differences, help you pick, and set up mailboxes, aliases and shared addresses such as info@ or accounts@. Each provider charges per user under its own pricing, which we point you to rather than quote.

02

SPF, DKIM and DMARC

Without these three DNS records, your emails are more likely to be marked as spam or spoofed by someone pretending to be you. SPF lists which servers may send for your domain, DKIM signs each message, and DMARC tells receiving servers what to do with failures. We set all three correctly and check them with testing tools before handover. DMARC reports then show who is sending mail using your name.

03

Making website email reliable

Contact forms, order confirmations and password resets often fail silently because the web server sends them in a way mail providers distrust. We route website email through an authenticated sending service so it lands in inboxes. For a store taking DPO Pay or Orange Money payments, that means customers actually receive their order confirmation. We send test messages from each form before launch to prove it.

04

Your .co.bw domain and DNS

The .bw registry is run by BOCRA, with registrations handled by accredited registrars. We make sure the domain is held in your organisation's name, not a former supplier's, and keep DNS records documented so email and website settings do not overwrite each other. When a supplier relationship ends, this record makes the handover simple instead of a scramble to find who controls what.

05

Email and the 2024 Act

Email accounts hold a great deal of personal data. Under the Data Protection Act No. 18 of 2024, a breach must be reported to the Information and Data Protection Commission without delay. We enable two-factor sign-in, set sensible sharing rules and make sure leavers' accounts are handed over rather than left open. Shared mailboxes get named owners so access is always accounted for.

Platforms we have built.

For the Federal Ministry of Education boot camp, our team built registration with automated attendee email updates, and the BFI School sends course and payment emails that have to arrive every time.

Questions

Frequently asked questions

Can you move our existing email without losing messages?

In most cases, yes. We copy existing mailboxes to the new provider, then switch the DNS records at a quiet time on Botswana time. We plan around your working day so nobody misses mail during the change. Calendars and contacts move too where the providers allow it.

Which provider do you recommend?

It depends on the tools your team already uses and your budget. We explain the options plainly and set up whichever you choose. We do not resell licences, so we have no reason to push one. Switching later is possible but takes effort, so the choice deserves a short conversation.

Why do our website emails go to spam?

Usually because the domain lacks SPF, DKIM or DMARC records, or the website sends mail directly from the server. We fix the records and route website mail through an authenticated service. We then send test messages to several mail providers to confirm they arrive in inboxes rather than junk folders.

Can we keep our .co.bw domain with a different registrar?

Yes. Email works with any registrar as long as we can update the DNS records. We just need access, or someone at the registrar who can make the changes we specify. Your website and email do not need to sit with the same company as your domain.

Do you provide email support?

Under managed services, we handle DNS, delivery problems and account setup for new staff. Day-to-day questions about using Gmail or Outlook are usually answered faster by the provider's own help resources. We also remove access for staff who leave.
